How to Eliminate Viewports in an eReview Document

Sometimes a file uploaded to an Energov application will have “viewports” embedded in it. These viewports can make it difficult (or even impossible) to take measurements in Bluebeam Revu.

The best solution is to ensure that any files that need to be reviewed in a studio session do not have viewports prior to beginning the studio session. This can be done by the Review Coordinator by following these steps:

  1. The Review Coordinator receives a “Review New Files” task and identifies which file/s will be reviewed in the studio session.
  2. Click on the file name/s to download them to your computer.
  3. In File Explorer, go to your downloads folder and find the file/s.
  4. To find out if the file has viewports, right-click and open with Revu (If Revu is your default pdf application you can just double-click on the file).
    1. If the file has viewports, you will get a pop-up message upon opening Revu asking if you would like to remove them. If you get this message, click "Yes." If not, the file does not have viewports and you can proceed with launching the review in Review Coordinator.
  5. On the left sidebar of Revu, go to the ruler icon to open the Measurements page and ensure there are no viewports left over (flip through all pages of the file to make sure there are no viewports on ANY pages). If you have tons of viewports, you may want to skip to this step: OPTIONAL: Removing viewports using Revu Stapler
  6. Once you have confirmed that there are no viewports in the file, click File > Save to override the original file with the new one without viewports.
  7. Once saved, close your PDF viewer and the Stapler app.
  8. Return to your “Review New Files” task in Energov and replace the original file upload/s with the new one/s – this should be done by clicking on the trash can next to any files to delete and then uploading the new ones instead.
  9. As the new file uploads, make sure you assign it a file category and then click “Attach” to upload it.
  10. Once the new file is uploaded, it will take about a minute to process before you can launch the studio session. The question mark icon is an indicator that it is still processing.
  11. Once it is done processing you can begin the studio session as usual.

OPTIONAL: Removing viewports using Revu Stapler

  1.  If a document is very large and you want to be sure all viewports are removed, find the file in Windows File Explorer (it should be in your downloads folder). Right-click on the file/s and select “Convert PDF files in Revu”.
    • This will open an application called Bluebeam Stapler. Click “Staple” and that will remove all viewports. This will also flatten any markups/comments on the PDF.
  2. This will open the file in your default PDF viewer. Click File > Save, navigate to your downloads folder, and click on this file to replace the original file in your downloads folder with this new one.
  3. Close your PDF viewer and the Stapler app (no need to save the Stapler job when you close it).
  4. Return to your “Review New Files” task in Energov and replace the original file upload/s with the new one/s – this should be done by clicking on the trash can next to any files to delete and then uploading the new ones instead.
  5. As the new file uploads, make sure you assign it a file category and then click “Attach” to upload it.
  6. After the new file is uploaded, it will take about a minute to process before you can launch the studio session. The question mark icon is an indicator that it is still processing:
